Job Description
Seeking an administrative assistant that is detail-oriented and proactive individual to support a real estate sales team. This role plays a key part in ensuring the efficiency, accuracy, and organization of daily operations, with a strong emphasis on using web-based software. other tasks include preparing purchase, sale and rental contracts for commercial, industrial and residential contracts, assisting with all emails, marketing or marketing, digital platforms required by the company, making phone calls to owners or tenants, coordinating repairs, reports, controlling monthly rent, performing comparative price analysis of industrial, commercial, residential or rental real estate, managing all digital platforms required by the company such as Microsoft 365, Teams, Property Tree, Excel

Night shift: 4:00 PM – 1:00 AM.

Key Responsibilities:

  • Working on a web-based sales system to put up advertisements.
  • Creating and sending email marketing campaigns using a web-based sales system.
  • Preparing agreements and contracts and managing via web-based sales system.
  • Managing and updating the web-based database.
  • Creating reports.
  • Creating marketing materials.
  • Working with the Sales team to move deals files from start to completion
  • Providing general administrative support to the team.

Ideal Candidate Profile

Requirements:

  • English proficiency between 80% to 95% (spoken and written).
  • The ability to multitask and manage time effectively.
  • Confidence and fluency when making phone calls in English.
  • Excellent personal presentation and communication skills.
  • Previous experience in administrative roles preferable.
  • Strong interpersonal and relationship management skills.
  • Highly organised, detail-oriented, and capable of working independently.

Desirable:

  • Graphic design knowledge and digital tool proficiency. Skills or experience in design programs such Adobe Photoshop/Illustrator/Lightroom, PowerPoint, or Canva.
  • Familiarity with Microsoft 365 (Word, Excel, Outlook, SharePoint) and web-based CRM systems.
  • Age: between 25 and 35 years old.
